Intuitive Mailguard - Your email just SPAM free


Q.  What is Mailguard ?

A.  Mailguard is an anti-SPAM anti-Virus email filtering server used to stop unwanted and dangerous emails, allowing users to manage their own accounts on the server.

Q.  Is Mailguard free to use?
A.  No. Mailguard is a chargeable service.

Q.  Can I try before I buy ?
A.  Yes, we offer a free one month no holds barred trial allowing you to manage your account and see the benefits this service has to offer.

Q. How does Mailguard work ?
A.  Mailguard is setup to be the first point of delivery for all of your email on the domain you specify to us, this then filters all of the email, quarantines the spam/virus email and forwards all the allowed email to its penultimate destination.

Q.  I connect to Intuitives’ email server to collect email from my mailbox(s). Can Mailguard be used with this method (POP3) ?
A.  Yes. After Mailguard has filtered your incoming email it will then deliver the email to the Intuitive mail server and to your mailbox ready for collection.

Q.  We use our own email server (i.e Microsoft Exchange) which we collect our email from. Can Mailguard be used with this method (SMTP) ?
A.  Yes. Once Mailguard has finished filtering email, as it does with the POP3 method, Mailguard will then deliver the email to your mail server.

Q.  Intuitive does not have control over my domain name, does that mean I cannot use Mailguard ?
A.  Not at all. You can still use our Mailguard service. However, we will need to speak to whoever controls the DNS on your domain name, as the MX (mail exchanger) record will need to be amended so as to deliver your email to Mailguard first. We then tell Mailguard to forward it on to either your mailbox or server.

Q.  How do I get emails that have been blocked by Mailguard ?
A.  Your Mailguard account will have a username and password to login to the web interface. Once logged in you can manage your account. Some management tasks include: releasing falsely blocked email, re-setting the account password, setting up a black/white list, adding removing extra user accounts (if you have admin permissions).

Q.  How do I start using Mailguard ?
A.  To begin using Mailguard we need some information. We require a comprehensive list of email addresses used by you or your company and, if there are any aliased email addresses, who they belong to. Mailguard is then configured and as we setup your accounts, each account added will receive an email containing the username (this will be the email address) and a randomly generated password. This can be reset by the user once he/she logs in. Finally we change the MX record in the DNS of your domain name which sets the Mailguard server as the ‘point of delivery’ for all incoming email to your domain.

Q.  Why do you need a comprehensive list of our email addresses ?
A.  Due to how the Mailguard server is setup we only allow known email addresses to be processed. The biggest advantage doing this is reducing Spam and Virus emails using random names in your email address, i.e. djfhfwuehf@yourdomain.co.uk. This blocks thousands of emails, reduces load on the server and maximises performance for processing tasks. Any unknown email addresses will be rejected.

Q.  I have more than one email address i.e jsmith@domain.co.uk and john.smith@domain.co.uk does this mean I Have to pay for two Mailguard user accounts ?
A.  Fortunately no. If you have several variations of email addresses we can alias them to a single ‘main’ address you can use.

Q.  I use several email addresses, do I have to login to manage each email address ?
A.  No. If you have, for instance, five email addresses, we can make one address the ‘main’ address which would become your Mailguard login username and the other four addresses could be aliased to the main address.

Q.  What is email ‘aliasing’ ?
A.  Within Mailguard, email aliasing refers to your main Mailguard account, the email address you login with, and then one or more variants on your email address i.e. johns@, jsmith@, john.smith@, johnsmith@. 
If john.smith@ is the ‘main’ address then the other three can be “aliased” to it. The result is any emails blocked by Mailguard for the ‘aliased’ addresses would appear under the “Suspected Spam” section of the john.smith@ Mailguard account so all the email addresses are accessible from a single point.

Q.  I have multiple email addresses and have received an email from Mailguard for each of these addresses, which one do I use to log in ?
A.  Due to the way we have to create aliases on a Mailguard account, each alias email address has to be created as a user account before we are able to alias it to your main email address. If you haven’t already discussed with Intuitive Support as to which email address you want  as the ‘main’ with Intuitive Support before they were setup. If you didn’t please contact Jim or Steve in Support before attempting to login with any account

Q.  I have forgotten my username and/or password to login to Mailguard, what do I need to do ?
A.  Unless someone in your department/company has admin rights you will need to contact Intuitive Support.
You can call on 0845 643 1182, but if you do call please send an email to support@in2it.co.uk before hand, as if we haven’t received an email you will be asked to send on before we can start the change password procedure.

Q.  Can anyone else read my emails on the Mailguard server ?
A.  Mailguard is completely secure. If you have someone delegated as Mailguard admin they have the permissions to change settings in your Mailguard account but cannot see any email at all whether Spam or otherwise. In fact Mailguard is so secure when it comes to your email that even we as System Administrators cannot read any of your emails, only logging on with the named account allows access to blocked/unblocked emails.
